Protecting Student Privacy
CRY-ROP is committed to protecting the privacy and confidentiality of student information and education records.
The Family Educational Rights and Privacy Act (FERPA) is a federal law that provides parents, guardians, and eligible students with certain rights regarding student education records, including access to records and protections related to the disclosure of personally identifiable information.
CRY-ROP maintains and protects student records in accordance with FERPA, applicable state and federal requirements, and CRY-ROP Board Policies and Administrative Regulations.
Your FERPA Rights
Under FERPA, parents and eligible students have certain rights regarding education records.
These rights include:

Access to Education Records
The right to inspect and review the student’s education records.

Request a Correction
The right to request that information believed to be inaccurate, misleading, or otherwise in violation of the student’s privacy rights be amended.

Control the Disclosure of Information
The right to provide consent before personally identifiable information from education records is disclosed, except when FERPA or other applicable law allows disclosure without consent.

File a FERPA Complaint
The right to file a complaint with the U.S. Department of Education concerning an alleged failure to comply with FERPA requirements.
When FERPA Rights Transfer
FERPA rights generally transfer from the parent or guardian to the student when the student turns 18 years old or attends a postsecondary institution at any age. A student who holds these rights is referred to as an eligible student.
Accessing or Correcting Student Records
Parents and eligible students have the right to inspect and review applicable education records maintained by CRY-ROP.
Request Student Records
Individuals seeking transcripts or other available student records may use CRY-ROP’s Student Records Request process.
Request a Correction to a Student Record
If a parent or eligible student believes information contained in an education record is inaccurate, misleading, or otherwise violates the student’s privacy rights, they may request that the record be reviewed and amended.
If CRY-ROP determines that the requested amendment will not be made, the parent or eligible student may have additional rights to challenge the record in accordance with applicable law and CRY-ROP Board Policies and Administrative Regulations.
Sharing Student Information & Consent
CRY-ROP takes the confidentiality of student education records seriously.
In general, personally identifiable information contained in a student’s education records will not be disclosed without written consent from the parent or eligible student unless disclosure is permitted or required by law.
When written consent is required, the consent should identify the records that may be shared, the purpose of the disclosure, and the individual or organization authorized to receive the information.
FERPA allows certain information to be disclosed without prior consent in specific circumstances, such as disclosures to authorized school officials with a legitimate educational interest or as otherwise permitted by law.
CRY-ROP handles the disclosure of student records in accordance with FERPA, applicable state and federal requirements, and CRY-ROP’s Student Records policies and regulations.
Directory Information
FERPA allows certain student information to be designated as directory information. This generally includes information that would not ordinarily be considered harmful or an invasion of privacy if disclosed.
CRY-ROP provides notice regarding the types of student information designated as directory information and the circumstances under which that information may be released.
Restricting the Release of Directory Information
Parents and eligible students have the right to request that designated directory information not be disclosed.
Requests to restrict the release of directory information must be submitted in accordance with CRY-ROP’s applicable policies, regulations, and notices.
